HVAC answering service: the no-heat call gets answered while your techs are on jobs

In short: HVAC leads on Local Services Ads averaged $51 each with a $2,110 average ticket in SearchLight's February 2026 data. KeptRing answers the calls your shop misses, screens for gas and carbon monoxide, takes the job details, and emails you the lead.

Here's an illustration using SearchLight's average, not a KeptRing result: if 5 business-hours calls a week ring out past 20 seconds, that's about $255 a week in leads at $51 each that nobody spoke to. Try your own numbers in the missed-call calculator.

SearchLight notes February is heating season, which lifts both conversion and ticket size for HVAC.

The HVAC calls that go to voicemail

  • "The heat's out and it's 20 degrees." The caller will try the next company in a few minutes.
  • "The AC is blowing warm air." Heat waves stack these calls while every tech is already on one.
  • "I smell gas" or "my CO alarm is going off." These need safety instructions first, not a callback tomorrow.
  • "There's water around the furnace." A leaking unit or a clogged condensate line.
  • Tune-ups, replacement quotes, and new-construction bids that arrive while the office is on the other line.

What KeptRing asks an HVAC caller

  1. What's going on?

No heat, no cooling, a noise, a leak, or a quote request, in the caller's own words.

  2. Any gas smell, CO alarm, smoke, or burning smell?

If yes, the caller is told to leave the building and call 911 or the gas utility from outside. No troubleshooting.

  3. How urgent is it?

Is anyone without heat or cooling right now? Urgent calls are marked urgent in your lead email.

  4. Equipment details, if they know them

Furnace, heat pump, boiler, or AC, and roughly how old. Fine if they don't know.

  5. Address, callback number, and when someone can come

It reads the number back and takes a preferred window. It never promises a time.

What it won't do

  • Walk callers through resetting, relighting, or repairing equipment.
  • Quote prices or diagnose the problem.
  • Promise an arrival time or book into your dispatch board.
  • Claim to be a person.

Our public demo line plays a fictional heating and plumbing company. Your line gets a script written for your trade, and you hear and approve it before anything goes live. It's the closest preview of your HVAC script: (317) 558-7718. 14-day free trial (250 minutes; answering pauses if you use them all), then $249/month per line if you keep it ($197/month locked in for our first 10 paying clients). Card at signup, nothing charged for 14 days, month-to-month, cancel online anytime. Lead summaries arrive by email after each answered call. Texting isn't live yet; after carrier registration is approved, only callers who say yes on the call will get a text.

HVAC on Google Local Services Ads

Google's screening page lists HVAC, plumbing, and electrician among its "urgent" home-service categories (Google). Google's "How leads work" page says a valid lead can be generated when "you missed a phone call during your business hours and the customer stays on the line for more than 20 seconds," and that a business-hours call answered by voicemail or a greeting "is treated as a connected call." The page applies to Local Services Ads generally and lists no exception for this category.

Google also tells advertisers: "If you regularly fail to answer calls or respond to messages, your ad ranking may be affected" (Google Local Services Help).

KeptRing doesn't lower what Google charges. It makes sure the calls you're already paying for get answered. Details: Google LSA now charges for some missed calls.

Questions HVAC company owners ask about KeptRing

Does KeptRing tell my callers it's an AI?

Yes. Every call opens with your company name, a plain statement that it's a virtual assistant, and that the call may be recorded. It never claims to be a person.

Does it quote prices, diagnose problems, or book appointments?

No. It doesn't quote prices, diagnose anything, give repair steps, or promise arrival times, and it doesn't write into your calendar or scheduling software. It takes the caller's name, callback number, service address, the problem, how urgent it is, and when they'd like someone out, then emails you the lead.

What happens on an emergency call?

For a gas smell or CO alarm, it tells the caller to leave the building and call 911 or the gas utility from outside, with no troubleshooting. For sparking, downed lines, fire, or anyone hurt, it tells them to get to safety and call 911. Urgent calls are marked urgent in your lead email. KeptRing is not an emergency service and can't transfer calls or ring your phone during a call yet.

Does it answer after hours?

Only if you choose. By default KeptRing answers the calls you miss during business hours. After-hours answering is opt-in, because Google may charge for after-hours calls that get answered. See after-hours answering.

What does it cost?

$249/month per business phone line after a 14-day free trial, or $197/month for our first 10 paying clients. Each line includes 500 answered minutes per billing period, and extra answered minutes are 25¢ each. Month-to-month, cancel anytime. See pricing.
